Five problems a tax practice's website usually has
Five problems we see in almost every tax and resolution practice's website, and what each one quietly costs.
One page tries to cover every return type.
A page titled "Tax Services" that mentions individual returns, business returns and resolution work in one paragraph ranks for none of them well, and a visitor cannot tell in five seconds whether the firm handles their situation.
The site hesitates on a phone.
Most searches for a nearby preparer happen on a phone, often the night before a deadline. A page that takes its time sends the visitor back to the results, and the next firm gets the call.
Hours and staff go stale mid-season.
Extended hours during the busiest weeks, a new preparer starting, an office that opens seasonally: none of it makes it onto the site until someone finds the login, so the site quietly tells clients the wrong thing.
Every inquiry lands in one inbox.
During the first two weeks of a season the front desk cannot keep up, so calls go to voicemail and web forms sit unread for a day, right when a caller is deciding between three firms in one sitting.
There is no document checklist anywhere.
A client who does not know what to bring either calls to ask or arrives without it, and both outcomes cost the office time it does not have during the busiest weeks of the year.
Pages that open instantly
- Every page is hand-coded static output, served from a global edge network, close to wherever a client is searching from.
- Almost no JavaScript ships to the browser. The mobile menu and the intake form are the only interactive parts, and they are small.
- 90+ on Google PageSpeed Insights for mobile and desktop on every page we build and host, guaranteed and kept there.
- No layout shift as fonts and office photos load, so a visitor can tap the phone number the moment the page appears.
Built to rank for each return type, in each place
- A page per return type answers the specific search people make, instead of one services page that ranks for nothing.
- A page per office with LocalBusiness schema attaches each address to its own map listing.
- 2 researched articles a week build the depth that keeps a firm visible for the questions people ask before they book.
- Local searches in your area start ranking within 3 to 5 months of launch, or the search work continues at no extra charge until they do.
Everything on the invoice
What the monthly fee covers on every plan, so there is nothing to add later.
The site
A page per return type, a page per office, a document checklist and a blog. Designed and hand-built by the studio.
The intake form
Three or four questions, then the inquiry goes to your CRM with the return type and office already attached.
A free domain
Registered in the firm's name for as long as the plan is active, or we point the one you already own. Either way it stays yours.
Managed hosting
SSL, CDN, DDoS protection and unmetered bandwidth on a global network. No hosting bill, no bandwidth overage, nothing itemized.
Your CRM, connected
Every inquiry written to the CRM you already use, by API, Zapier or Make.
Fully managed
Weekly detail updates, 5 revisions a month from your client portal, 2 researched articles a week, and a person to email.
What the articles are about
2 a week on The Front Desk and The Busy Season, 3 a week on The Year-Round Practice, each 2,500 to 3,200 words, each cited, none of them tax advice.
Return-type explainers
What a given return type generally involves and who it is for, written for a reader who has never filed one before, with sources cited.
What to bring
Practical, plain-language guides to a first appointment for each return type: documents, questions to prepare, timing to expect.
Notices and audits, explained calmly
General information about what a notice typically means before someone decides whether to call a professional, never a promised outcome.
Season logistics
How your office hours, appointment types and document drop-off actually work, written so search engines and clients both find the answer.
Firm news
A new preparer, a new office, an extended hours announcement, written so it also updates the relevant pages.
Plain-language glossaries
The terms a client will hear during an appointment, explained in ordinary words, cited where a figure appears.
How revisions work
Requested from your client portal, any size, no hourly billing.
5 revisions a month, included
A revision is one change request of any size: a new return-type page, a rewritten office page, a new checklist item. There is no limit on how much goes into one.
$20 for each one after that
Flat, no hourly billing, no estimates. A busy week with eight changes costs the plan plus three extra revisions.
Completed within 2 to 5 working days
From the moment we have everything we need. Most are done sooner. We confirm what we understood before we start, and reply with the link when it is live.
Weekly detail updates do not count
Hours, staff and fee changes are published every week without touching a revision.
What we update every week without a revision
Send the detail in whatever form you have it. We confirm what we understood, publish it within the week and reply with the link.
- Extended hours during a busy week
- A new preparer joins
- A preparer leaves
- A credential renewal
- A fee schedule change
- A seasonal office opens
- A seasonal office closes
- A new document requirement added to a checklist
- A holiday closure
- A new team photo
- An updated phone number
- A compliance wording change
Before and after the rebuild
The same six things, as they usually stand today and as they stand once the site is live.
- Return-type pagesBefore:One "Tax Services" page mentions every return type in one paragraph. After:A dedicated page for individual, business, self-employed and resolution work.
- Document intakeBefore:Clients call to ask what to bring, or arrive without it.After:A checklist tool presents your own list by return type before the appointment.
- Office hoursBefore:Extended hours during the busiest weeks never make it onto the site. After:Hours publish as a weekly detail update, current within the week.
- Multiple officesBefore:One shared "Locations" page competes with itself in search. After:Each address has its own page, map and local search visibility.
- After-hours inquiriesBefore:A call after 6pm goes to voicemail until the next morning. After:The AI Engine takes the details and books the appointment overnight.
- Off-season visibilityBefore:The site goes quiet the moment the season ends. After:Researched articles keep publishing, so search visibility keeps building.
How it works
Four steps from your first invoice to a live site, and the build fee is the last of them.
- 1
Pay the first monthly invoice
That is the only payment before launch. It starts the build and covers your first month once the site is live.
- 2
Onboarding form, then a call
You fill in the onboarding form: return types, offices, document checklists and where inquiries should land. Anything missing can follow by email or a portal ticket. Then one call to confirm it.
- 3
The studio builds
Return-type pages, office pages, the intake form and the CRM connection. You review a staging link and send changes through your portal.
- 4
Live, then the build fee
The site goes live on your domain. Only after you have approved it do we invoice the $797 build fee. Weekly updates start the same week.
The three plans
Same site, same structure, same management on every plan. Domain and hosting are included on every one.

Start with The Busy SeasonAI usage, meaning the minutes answered and messages handled, is billed at cost each month with a running total you can see.
The Year-Round Practice
Everything, plus the Content Engine
$747/ month
plus $797 one-time build fee, invoiced after launch
Live in 15 days
Best for: A practice with several offices, or one that wants visibility outside filing season too.

Pricing questions
What do I actually pay, and when?
You pay the monthly fee for the tier you choose up front: $137, $297 plus AI usage, or $747 a month. The $797 one-time build fee is invoiced only after your site is live and you are satisfied with it. Domain and hosting are inside the monthly figure.
How do I cancel, and how much notice do you need?
Email us and say you want to cancel. Your message must reach us at least 2 business days before your next invoice date, during business hours, which are 9:00 to 17:00 Central Time, Monday to Friday. A message sent outside those hours counts from the start of the next business day, so a weekend email does not give 2 business days of notice for an invoice due Monday or Tuesday. With valid notice, no further invoice is raised and your site runs to the end of the month you have paid for. With late notice, the next invoice is charged as normal and the cancellation takes effect at the end of that month.
Do you offer refunds?
No. All sales are final, and that includes monthly fees, the build fee, extra revisions and any cost we pass through at what our providers charge us. We do not refund for a change of mind or for a month you did not use. The one exception is a duplicate or incorrect charge made by our billing: tell us within 30 days and we correct it within 10 working days. The build fee is charged only after you have approved your site, which is exactly why it is not refundable afterwards.
What counts as a revision, and what happens after five?
A revision is any change request you send, and there is no limit on how much goes into one. New page, new return type, updated fees, a different photo, a colour change: each is one revision. So is something much larger. "Build two new office pages, here is the copy and the photos for both" is one revision, not four. 5 are included every month. After the fifth, each additional revision is a flat $20, with no cap on how many you can buy and no hourly billing anywhere. Every revision is completed within 2 to 5 working days of you sending it, whatever the size.
What is the client portal?
It is your account with us, and you get it the day your site goes live. From the portal you request revisions, raise a support ticket for anything that needs attention, send us files you still owe us, and message our team directly. Everything to do with your site runs through it, so nothing gets lost in an inbox during a busy week. You never log in to the website itself; we handle that side.
What do the researched articles cover for a tax firm?
General-information pieces written for someone deciding whether to book an appointment: how a filing category generally works, what a first appointment with your firm involves, what documents a return type typically requires, and how to read a notice before deciding to call a professional. Every figure or claim in an article points at a cited source, and each one is reviewed by you before or shortly after it publishes.
Do the articles give tax advice or state deadlines as fact?
No. Articles describe general information and cite their sources; they never state a filing deadline, a form number or a refund timeline as settled fact, because those details change and vary by situation. Anyone reading an article who needs an answer for their own return is directed to book a consultation with your firm.
How many articles a week, and who approves them?
2 a week on The Front Desk and The Busy Season, 3 a week on The Year-Round Practice once the Content Engine is running. Each is 2,500 to 3,200 words. You review every article; if something needs a correction, that goes through your client portal like any other revision.
What does the AI Engine actually do for a tax office?
On plans that include it, an AI receptionist, site chat, and text messaging agent describe your services, take contact and document details, and book an appointment into your calendar. Every call is summarized into a written note before you call back, so nothing is lost between a missed call and a returned one.
What is the AI usage charge on The Busy Season and The Year-Round Practice?
Usage, meaning the minutes answered and messages handled, is billed monthly in arrears at what our providers charge us, with a running total visible in your client portal. There is no markup and no estimate required upfront; you pay for what the AI Engine actually handled that month.
Is hosting an extra cost?
No. Hosting is included in the monthly fee and never billed separately. Your site runs on a global content delivery network with SSL, DDoS protection and unmetered bandwidth included. There is no hosting invoice, no SSL renewal, no bandwidth overage and no surprise line item during your busiest month.
Do I have to pay for a domain?
No. One domain is included free for as long as your plan is active, registered in your name through Cloudflare Registrar or Spaceship, so you own it outright. If you already have a domain we point it at the new site instead and nothing changes for people who know your current address. If you ever leave, tell us where to send the domain and we transfer it at no charge.
I already have a website from a previous filing season. Can you move it over?
Yes. Send us the current site address and any content you want carried forward, such as return-type descriptions, staff bios and existing articles, and we rebuild it inside the new structure. Old page addresses are redirected so a returning client's saved link or a search result still lands on the new site.
What happens to the search rankings my current site has?
We redirect every old page to its new equivalent and keep the same core content ideas in place, which is the standard way to preserve ranking signal through a rebuild. Local searches in your area are guaranteed to start ranking within 3 to 5 months of launch, or the search work continues at no extra charge until they do.
Can the site support multiple offices or a seasonal location?
Yes. Every plan includes a page per office with its own address, hours and map, and a seasonal office can open or close as a weekly detail update rather than a revision. A firm running three storefronts for four months a year is a normal build for us, not a special case.
